Debit Note

Create Debit Note: is issued when the original invoice amount needs to be increased (e.g. pricing
correction). It allows you to add additional charges after the invoice has been posted and submitted to
MoR.

1. Open the Accounting (Invoicing) Module

  1. From the top-left of the screen, click the ⠿ App Launcher (9-dots icon).

  2. Click on “Accounting” to open the module.

2. Locate the Invoice for Creating a Debit Note

  1. In the Accounting (Invoicing) dashboard, click “Customer Invoices.”

  2. From the drop-down, click “Invoices”.

    • This will display a list of all invoices.

3.Use filters or search by invoice number/name to find the relevant invoice.

4.Click on the invoice you wish to create a Debit Note for.

3. Create the Debit Note

1. Inside the invoice view, click the “Debit Note” button at the top.


4. Review and Confirm the Debit Note

  1. After clicking the “Debit Note”, the system will generate a draft debit note.

  2. Verify the product, price, and reason. You can edit the product details here, such as pricing.

    • Enter the “Reason for Ministry of Revenue” in the field provided.

  3. If all details are correct, click “Confirm” to finalize the debit note.

    • At this stage, the debit note is automatically submitted to the Ministry of Revenue (MoR) via the e-Invoicing system.

5. Send or Print the Debit Note

  1. Print: Click “Print” to print the official debit note document.

  2. Send: Click “Send” to email the debit note to the customer.
